Online Manuscript Submission Process
Author Guidelines
Online Submission Process
Authors must complete all six steps in the Open Journal Systems (OJS) submission workflow. Please ensure that all required information is accurate and that the uploaded files comply with the journal's submission requirements.
1
Start the Submission
Log in to your OJS account, open the Author Dashboard, and click New Submission or the equivalent submission button available in the journal.
Complete the following:
- Submission Language: Select the language of the manuscript, if this option is available.
- Section: Select the appropriate journal section, if provided. If the journal only has one section, choose the available option.
- Submission Requirements: Read and check each applicable confirmation, such as originality, exclusive submission, file format, and compliance with the author guidelines.
- Comments for the Editor: Enter a brief message for the editor if the field is provided. This is optional unless marked as required.
Before continuing: Confirm that the manuscript is intended for this journal and that all applicable submission checklist items have been satisfied.
2
Upload the Submission File
Upload the main manuscript file containing the complete article. Follow the instructions displayed by OJS for selecting the file component and file type.
Prepare and upload:
- Main Manuscript: Upload the article in the file format accepted by the journal, usually Microsoft Word (.doc or .docx).
- Manuscript Content: Include the title, abstract, keywords, introduction, methods, results, discussion, conclusion, acknowledgements where applicable, and references as required by the journal template.
- Anonymous Manuscript: If the journal uses double-anonymous peer review, remove author names, affiliations, acknowledgements that reveal identity, and identifying document metadata from the review copy.
- Additional Files: Upload supplementary materials, figures, datasets, or other required documents separately if requested by the journal.
Important: Uploading a manuscript does not automatically complete the submission. You must continue through the remaining OJS steps and confirm the final submission.
3
Enter the Submission Metadata
Complete the bibliographic information for the manuscript. This information will be used for editorial processing, indexing, and publication, so it must match the manuscript.
Information to enter:
- Title: Enter the complete manuscript title exactly as it appears in the manuscript.
- Subtitle: Enter a subtitle only if the article has one and the field is available.
- Abstract: Paste the complete abstract in the journal's required language and within its word limit.
- Keywords: Enter the required keywords, separating them according to the OJS field instructions. Use terms that accurately represent the article's main topics.
- List of Contributors: Add every author in the correct order. Enter each author's given name, family name, email address, and institutional affiliation.
- Corresponding Author: Identify the author responsible for communication with the editorial office, where OJS provides this option.
- References: Add references to the dedicated field if requested by the journal's OJS configuration.
- Additional Metadata: Complete any other required fields, such as discipline, subject classification, language, or supporting agencies, when displayed.
Important: Ensure that all authors listed in OJS also appear in the manuscript, with consistent names, affiliations, and author order. Do not add or remove authors without following the journal's authorship policy.
4
Upload Supplementary Files
Upload additional documents required by the journal or relevant to the manuscript. The available file categories depend on the journal's OJS configuration.
Examples of supplementary files:
- Cover Letter: A short letter addressed to the editor describing the manuscript's title, main contribution, relevance to the journal, and confirmation that the work is not under consideration elsewhere.
- Title Page: A separate file containing the manuscript title, author names, affiliations, and corresponding author's contact details, if required.
- Ethics or Research Approval: Relevant approval documentation or an ethics statement, where applicable to the research.
- Conflict of Interest Statement: A declaration of competing interests, including a statement that no competing interests exist where appropriate.
- Funding Statement: Information about financial support or a declaration that the research received no external funding, as applicable.
- Other Supporting Materials: Data files, appendices, figures, tables, permissions, or declarations required by the journal.
Note: Upload only documents relevant to the submission and follow the journal's instructions for file designation. If no supplementary file is required, proceed according to the options displayed in OJS.
5
Confirm and Review the Submission
Review the submission information and files before completing the final step. The exact screen may vary depending on the OJS version and the journal's configuration.
Check the following items:
- Submission Details: Confirm the selected section, title, abstract, keywords, and other metadata.
- Author Information: Verify the author order, email addresses, affiliations, and corresponding author.
- Uploaded Files: Confirm that the correct manuscript and all required supplementary files have been uploaded.
- Declarations: Ensure that the applicable submission confirmations and declarations have been completed.
- File Designations: Check that each file has the correct designation, such as manuscript, title page, or supplementary material.
Before proceeding: Correct any errors or missing information. If the screen provides a submission summary, review it carefully before moving to the final step.
6
Complete the Submission
Finalize the process by clicking the final submission button, which may be labeled Finish Submission, Submit, or similarly depending on the OJS version.
After clicking the final submission button:
- Wait for Confirmation: Allow OJS to process the submission and check for a success message or submission confirmation.
- Check the Dashboard: Confirm that the manuscript appears in your active submissions or submission list.
- Record the Submission ID: Keep the submission ID for future reference and communication with the editorial office.
- Monitor Notifications: Check your registered email and OJS dashboard for confirmation messages and subsequent editorial communications.
Submission completed: Your manuscript has been submitted when OJS confirms the submission and it appears in your dashboard. Uploading files or saving metadata alone does not necessarily mean the submission is complete.
Important Information for Authors
The available fields and file-upload options may differ depending on the journal's OJS version and configuration. Complete all mandatory fields marked by the system, follow the journal's author guidelines, and ensure that the final submission is successfully recorded in OJS. No publication fee should be assumed to be due at submission unless explicitly stated in the journal's official policy.
